Professional firms with hours, quotes and invoices in a single flow

Calendly meetings to Holded contacts, quotes signed in DocuSign to automatic billing, correct 7%/15% income tax withholdings, retainers and projects closed without Excel.

Law firms, consultancies, architects, engineers, accounting practices and independent professionals live off billing time or projects. But the typical flow is extremely manual: the client books in Calendly, the professional takes notes in Notion, the project is proposed by email, the quote is signed on paper, hours are tracked in Excel, invoices are issued by hand with income tax withholding estimated by eye, and payments are chased over WhatsApp. Every step is replicable and the hidden cost in unbilled hours is brutal. We connect Calendly plus Aircall plus DocuSign plus Holded plus Notion so the lead to project to invoice to payment flow runs on its own, with correct withholdings and real margin reporting per client.

  • Law firms (1-30 professionals) with retainers plus fee notes
  • Technical or strategy consultancies billing by the hour or by project
  • Architects and engineers with long projects and milestone deliverables
  • Accounting and tax practices with a recurring portfolio
  • Independent professionals with a mix of B2B and B2C clients
Typical pains

What we see in professional services before we start

01

Income tax withholdings misapplied

Independent professionals apply 7% the first year, 15% afterwards. If you bill B2B with a tax ID (company or self-employed), withholding applies. To B2C, it does not. Frequent errors that the advisory firm sends back with a correction.

02

Hours tracked in Excel that never reach the invoice

The professional notes hours in a personal Excel. When the monthly close arrives, someone transfers them into Holded and issues the invoice. Lost hours, discounts out of suspicion, a client who complains.

03

Quotes signed by email with no legal evidence

The client confirms 'looks good' by email. Three months later they dispute the scope. With no qualified signature, hard to defend in a dispute.

04

Monthly retainers that are not kept up to date

The client pays a fixed monthly retainer. If you add an extra service mid-year, billing has to be adjusted and nobody remembers. A silent loss of income.

FAQ

Frequently asked questions in professional services

How do you handle income tax withholdings in billing?

We configure Holded with automatic rules by client type: B2C individual with no withholding, B2B company with 15% withholding, B2B new company (first year plus the two following) with 7%, rentals with 19% where applicable. The professional issues the invoice without thinking about the percentage, it comes out correct.

What about tax forms 111, 190, 130, 303?

Holded generates all the forms relevant to a professional. Your advisory firm files them from Holded directly. If you come from another source, we leave the flow clean so there is no divergence.

Does it support retainers / recurring fees / fixed fees?

Yes. Recurring monthly billing with the correct concept and withholding. If you add extra services outside the retainer, we bill them separately with their corresponding withholding.

What about billing international clients?

Yes. Automatic detection of country and tax ID to apply 0% intra-community B2B with VIES, local EU B2C rates, 0% for non-EU export. Form 349 (intra-community) generated automatically.

Integrated time tracking?

If you track with Toggl, Harvest, Clockify or an in-house system, we connect it. Hours to invoice lines with a description of the work. If you track by eye, we can set up a basic system based on Trello cards plus hours.

How long does it take and how much does it cost?

8-15 days for a small-to-mid firm with Calendly plus DocuSign plus Holded. 15-25 days for firms with time tracking plus marketing automation plus multiple professionals. Fixed price after a 30-60 min discovery.
