Diagnosis

The problem

The sales rep keeps Trello up by hand: dragging cards as estimates get signed or orders come in. When there are 5 to 10 open deals, the Trello board goes stale and nobody updates it. Team meetings run on old data. Holded knows the reality but Trello does not, and nobody has time to maintain both.

The solution

Trello is still the default board in small businesses and agencies. Connecting it with Holded lets every estimate sent, every active project and every approved order generate its automatic card on the right board, move between lists based on status, and close itself when the customer signs or gets invoiced.

Scope

What we automate

  • New Holded estimate -> card in the 'To send' list of the sales board
  • Estimate signed -> the card moves to 'Won' and the operations team is notified
  • Order approved -> card on the production board with SKUs and delivery dates
  • Invoice issued -> the card moves to 'Invoiced'
  • Invoice paid -> the card is archived automatically
  • Comments in Trello with @holded create a note on the Holded contact
Architecture

How we build it

Trello REST API (key plus token) and Holded API v2. Mapping of Trello lists to Holded statuses in versioned config. Every status change in Holded triggers a card move in Trello via webhook. Tagged comments are synced to Holded as internal notes with an author.

Frequently asked questions

Does it support multiple boards?

Yes. You can have a sales board (estimates), a production one (orders), a finance one (outstanding invoices), each with its own sync rules. We configure it during discovery based on your workflow.

What about custom Trello Power-Ups?

If you already have custom Power-Ups, our integration works alongside them without interfering. If you want a native Power-Up (a 'Create Holded invoice' button inside the card), we develop it as an additional extension.

When is it NOT a good fit?

If your operations are more sophisticated (complex dependencies, gantt, integrated time tracking), Jira or Asana fit better. Trello plus Holded is the sweet spot for small businesses of 1 to 15 people with a linear workflow.

Trello Premium or Free?

It works with Free for low volumes. For more than 10 boards with many members or complex automations, Premium gives more headroom.
