Service professionals use Calendly for scheduling and Stripe for payments, but the two live apart: the client books in Calendly and the charge is handled by a manual email or a Stripe link sent separately. The result: high no-shows (the client did not pay when booking), forgotten payments, sessions delivered without being charged. For a coach with 30-50 sessions a month that is 5-10% of revenue lost. Calendly has a basic Stripe integration but it requires Premium plans and does not handle packs or complex cancellation policies well.

It supports one-off (a single consultation), packs (5 sessions) and subscriptions (a monthly fee). The client pays when booking, gets a confirmation with an invoice, and depending on your policy is refunded automatically or not if they cancel. How we build it
Calendly webhooks (invitee.created, invitee.canceled) plus Stripe Payment Intents, Stripe Customer and Stripe Subscriptions. The cancellation policy logic lives in versioned config (100% refund more than 24h before, 50% under 24h, 0% no-show). For packs, the session balance is managed in our own database with an automatic deduction on each booking.
Frequently asked questions
Is Calendly Premium required?
To use Calendly's advanced workflows, yes. But our integration works with any plan: we use webhooks that are available on Standard and above.
Cancellation policy?
Configurable: 100% refund if you cancel more than 24h out, 50% under 24h, 0% no-show. Or any matrix you define. It applies automatically.
Rescheduling?
If the client reschedules within the window with no penalty, we do not re-charge. If they reschedule outside the window, we handle it as a cancellation plus a new booking.
Packs / session bundles?
Yes. The client buys a 5-session pack at a discount and we manage it as a balance. Each booking deducts from the balance. When it runs out, they buy a new pack.
Monthly subscription with unlimited sessions?
Yes. Monthly Stripe Subscription plus Calendly at no cost. If the subscription is cancelled or fails, future bookings are blocked automatically.
How long does it take?
Between 4 and 7 business days. If you need packs plus subscriptions plus complex policies, it rises to 8-10.
